How to apply?

Are you a student at any of the universities in ACP? Yes? Then one of the 197 scholarships to Europa can be yours! Just apply!

Why Exchange Credit Mobility?

  • 197 scholarships left! A big chance of getting accepted!
  • 1 or 2 semesters experience! Better chance of getting a good job

Who can apply for exchange credit mobility?

  • Anyone who is currently enrolled at MA or PhD level in one of the ACP countries (note: BA students in their last year that are applying for MA level at their home university can apply too).

What is a Learning Agreement?

  • A contract between you, your home and host institutions – just to make sure your credits are recognized once you return home
  • It contains list of selected subjects you wish to study in the EU and the signatures of responsible persons at your home university ( at the time of application only)
  • The academic offers of the EU universities can be found on their websites (we will also publish them here)
  • In case of any questions, get in touch with the respective contact person (see Partners section)
  • The Learning Agreement can be changed once your study period starts using the “Changes of Learning Agreement” form

Application procedure

It is easy! Check the website carefully then follow the instructions step by step. That’s it! Apply here!

Note: If you are not able to fill out our on-line application you can download the word version, fill it out and hand it to the KITE contact person at the home institution or send it directly to the coordinator.

The online Application consists of 6 steps (you will be able to go backwards between steps 1 and 5). Step 6 shows the overall application form to which you can make changes as long as you don't close the application form completely!

Step 1: Your Mobility details

In this step, you will choose the correct type of mobility flow and select the partner institution you are interested in.

Please note: Only applicants for the master's exchange mobility may choose two host institutions in the online application (first and second choice)! Master's degree, Doctorate exchange, Doctorate degree, and Staff may only apply for one host institution.

Step 2: Log in

Upon finishing Step 1 of the application form, you will receive an email to the email address that you mentioned in Step 1. This email will contain the login data that will allow access to your application form profile, and continue filling in the application form.

Please note that you can go back to the application form at any time before completing and closing it, which means that you do not have to finish filling in the application form in one go.

Step 3: Fill in personal data

Just fill in your personal data.

Step 4: Attach supporting documents

In this step, you will be asked to attach the supporting documents according to the type and level of mobility you are applying for. Please note that you can submit any other additional documents in the place dedicated for this. You can check the list of supporting documents below:

Please note that all documents must be submitted in English or in the language of instruction of the institution you are applying to. In the case where diplomas and certificates are not in English, please provide both original documents and a translation of them. The translation does not have to be authorized, however, we recommend you to either get the signature of the KITE contact person at your home institution on the translated documents to prove that the original matches the translation or to provide an authorized translation if the host institution requires it at the time of application (more information can be provided by the KITE contact person at the host institution (see contacts)).

Step 5: Feedback

In this step, you have a chance to give your notes regarding the application process and KITE project overall. We appreciate your interest in the programme and we value your opinion.

Step 6: Complete the application

In this step, you will be able to take a final look at your application form as a whole; you will be able to make adjustments/changes, answer a last couple of questions and then save and close your application form.

Before closing your application form, please make sure that you are satisfied with all the data you entered. Once you close the application form, there will be no chance to make any changes to it.

After closing your application form, you can print it out and provide it to your home institution if they require this from you.

Please note that even after closing your application form, you will still be able to log in to your application profile, even though you will not be able to make any changes to it. After the application deadline, some information about the selection procedure and other useful information will be sent to you through this profile.

Supporting documents

These documents are obligatory and they vary according to the type and level of mobility you are applying for. You are free to submit any other additional documents, if relevant to your application, in the place dedicated for this.

Master exchange (non-degree) students

  • Motivation Statement
  • Learning Agreement (download the template). Document must be signed by:
    • KITE contact person at the home institution (not applicable for target group 2 and target group 3)
    • Coordinator at the Faculty/Department at the home institution who will then also be responsible for recognition procedures
  • CV – Europass format. Please use the Europass template (download here)
  • Passport – copy of passport or other official identification proof
  • Language certificates
    • All applicants need to check the "Detailed information" sheet of the respective host institution (see the section "general information") and upload the required language certificates which are mentioned there if applicable. If the partner institution DOES NOT require any language certificate, please upload a word document in which you mention this fact. In the case where the partner institution REQUIRES a language certificate and the applicant is not able to provide it at the time of application, the following options are possible:
      • Upload a word document in which you show proof of your knowledge (e.g. a confirmation from your home institution, or a language centre), but make sure that this option is acceptable at the host institution in question!
      • Upload a word document in which you show email correspondence with the host institution where they confirm that you can provide the language certificate at a later stage.
      • Upload a word document in which you explain any other special circumstances arranged by your home institution or based on your personal situation (e.g. your home institution offered to upload the confirmation at a later stage, your studies are carried out in a country where the language required from you is spoken (English, French, Portuguese…etc.)
  • Transcripts of records – a list of courses passed at your home institution.
  • Target group 2 (from non-partner countries) – confirmed grading system of previously or currently attended university.
  • Target Group 3 proof – a document indicating the candidate belongs to Target Group 3 (only for students applying for target group 3).

Doctorate (non-degree) students

  • Motivation Statement
  • Study and Research Plan / Concept note (download the template). Document must be signed by:
    • KITE contact person at the home institution (not applicable for target group 3)
    • Coordinator at the Faculty/Department at the home institution who will then also be responsible for recognition procedures
  • CV – Europass format. Please use the Europass template (download here)
  • Letter of Interest (template)
    • This letter from the host institution specifies their academic interest: applicants need to download this draft of the letter of interest and upload a filled-in and signed letter of interest. The letter of interest needs to be signed by the academic coordinator at the host institution. This means that doctorate applicants have to contact the host university before submitting their application.
  • Passport – copy of passport or other official identification proof
  • Language certificates
    • All applicants need to check the "Detailed information" sheet of the respective host institution (see the section "general information") and upload the required language certificates which are mentioned there if applicable. If the partner institution DOES NOT require a language certificate, please upload a word document in which you mention this fact. Please note: If you don’t have all the required documents now (e.g. you haven’t obtained your degree yet, but you will have obtained it once the mobility starts), please get in touch with your respective host institution.

If the official KITE contact person at the host institution exceptionally agrees that some documents can be sent after this call's deadline, this email correspondence should be uploaded as an explanation.

If your application is successful, you will be conditionally accepted and you will be given a certain deadline in order to submit the missing document. Please note though that applicants who have completed their applications by uploading all required documents will be favoured.
